SETT2016 | Until the very end - Part 4

Now it’s really starting to get real. It’s Saturday today and I’m assembling the last bits in Wirecast, which is the software I use for live streaming. Most things are ready, most things are packed and now it’s just up to me to start shifting gears and preparing myself mentally for the coming week.
It feels a bit like the job is done now, since we’ve been working so intensively the last few weeks to pull everything together. But it’s actually next week that it’s showtime. And there’s a lot that can go wrong. As usual. That’s part of the charm. To stay on alert all the time, find new solutions to problems that pop up on the spot. But to get it done together. No one gives up, one for all… you know.
Wirecast - broadcast
Wednesday’s broadcast - all components in place
Assembling and building the project in Wirecast is the last thing I do in preparing the production. The program is basically a live mixer for different live video and audio sources mixed with graphical elements. So when you see me at the computer out at the fair, I’ll be sitting there mixing between the two cameras as well as lower thirds, intro films, outro films, schedules and more that I’ve created earlier in a mix of programs like Photoshop, After Effects, Apple Motion and Final Cut Pro. Hopefully we’ll also test streaming everything via Facebook Live, but the problem is that Facebook has a 90-minute time limit per stream. Our broadcast will probably end up around 7 hours. But we’ll see how we solve that. Or if we do something else with it.
Last in-person meeting
As I’ve mentioned before, we don’t meet together very often, since for reasons of time and efficiency we keep communication in the digital sphere. But I called an optional (all meetings should be optional) meeting on Thursday at our local place to air any uncertainties. Two things that were discussed were seed packets and the fact that some people didn’t have tickets. So you understand there’s a lot in the details. :) Otherwise everyone had a handle on the situation as well as possible and we toasted the coming days.
Collaboration with Lärarförbundet
I’ve also mentioned before that we use Slack and Trello to communicate between all of us involved at Årstaskolan and Lärarförbundet. I have to say it’s worked great and my project colleagues at Lärarförbundet are awesome. Again, the most important thing for me is that the people I work with are the kind of people who make things happen. That’s when I can relax because I know things are happening and people take responsibility. Discussing pointless things in circles to avoid work and an inability to make decisions is the worst thing I know and there isn’t a trace of that in these people. True professionals. We’ll have to pat each other on the back when we meet. ;)
Setup on Monday
On Monday I’ll go to the office, make sure everything is packed and then book a large taxi out to Kista. We’ll try to leave around 12. Then it’ll be rigging, sound check and general tinkering. There will probably be a short film from that.
After-work on Tuesday
A final note is that we want to meet as many of you as possible. Since we won’t have time to hang out at the fair itself, we hope you want to join a small after-work at Victoria Tower (the hotel right next door) at 5 PM on Tuesday. Right in to the left. Yes, that’s exactly where we’ll be sitting.
Plan so far
Briefly, we’re now in the final part of our plan and below you can get an idea of what we’ve done. Of course a lot of this goes hand-in-hand with each other, but it gives a small picture of what running an event like this involves. 1 Brainstorm what we want to do > 2 Decide on format > 3 Define themes > 4 Identify interesting guests > 5 Revise themes and guests > 6 Decide on format, theme and guests > 7 Invite guests > 8 Set schedules > 9 Collect info and images from those involved > 10 Create graphics for PR/social media > 11 Start social media > 12 Update website and app > 13 Create video, audio and graphics for all formats for the broadcast > 14 Set up the broadcast > 15 Carry out the event See you on Tuesday, either on site or via the web! tanktanken.se/sett or via the app or Lärarkanalen.
